YOUR "UNANSWERED REPLIES" IN YOUR AUTO EMAIL REPORT - Connectors Report
There have been a lot of questions about this "UNREAD REPLIES" in the Connector Report. This column shows all inquirers WHO HAVE REPLIED TO YOUR INITIAL Inquirer reply in your "My Messages" inbox. Some of these conversations, have come to an end, however, if the Inquirer sends a second, or third reply, their name is on top of the list on in the left column in "Converstion History" box.
As a result the number in your Unread Replies is much higher than you realized. For some 121 Connectors, this is quite disconcerting. You can easily bring the # of unanswered messages down by comparing the date in the report with the dates of your messages in My Messages. Some of these messages need a reply, while others are FINISHED conversations. Transfer these FINISHED messages to an Archive Folder which you can create. All finished conversations should be moved out of your Inbox to the appropreate Archieve Folder, then they will not be counted as unanswered messages in your report.
Here is how to create an Achieve Folder!
1. Print your Connector Report, if you can, otherwise keep this window open and open a new window in your browser.
2. Log in to 121 Connections and Open your "My Messages" tab.
3. Refer to the Date column in your report, and scroll down your messages until you find the date of the message in question. Perhaps this message needs a reply; perhaps you have ended you conversation with this inquirer and he or she has just acknowledged your most recent conversation. If this is the case, we need to move this email to a new FOLDER BOX on the left side of your screen.
4. Highlight "My Folders" by clicking My Folders.
a. Create a new Folder called ARCHIVE 2011, by passing your mouse cursor on the envelope tab just above the list of files that has a + sign in it, and then click on the envelope.
b. A new Folder appears in your My Folders list. Right click on it, and rename it Archive 2011. You can fill this Archive folder with approx 200 messages, and then create Archive (year), and so on.
c. Move your messages in your Inbox to the appropriate folder Archive year. If you have more than 500 per year, you may have to create an A folder and B folder for those years.
